Vacation Request Program - Simplified Process

We have worked with the programmers in our department and are ready to begin using an online time off request system. This will simplify the process of requesting time off by giving the resident or fellow just one link to request any time off regardless of which time period is involved or on which rotation they will be. The program will then send requests by e-mail to the appropriate faculty responsible for approving time off, based on the dates and the rotation schedule. The administrative staff who record the time locally will also receive an e-mail notifying them of the request first and secondly, the approval.

The resident will see how much time they have requested and the balance of time remaining. The faculty will see which other residents on their service have already requested (or been approved) time off.

Vacation Time

PGY 1 & 2 Residents: 21 days of paid time off: 15 working (week) days and 6 weekend days

PGY 3 - 5 Residents: 28 days of paid time off: 20 working (week) days and 8 weekend days

Fellows: 20 working (week) days

Vacation Policy Guidelines

  • The vacation time listed above includes three working (week) days that must be taken during the Christmas/New Years' holiday period.
  • Paid time off (PTO) MUST be taken during an academic year and CAN NOT be accumulated for one year to the next. Vacation time (PTO) is NOT cumulative. No payment will be made for unused paid time off at the completion of training.
  • Coverage of resident vacation absences is left solely to the individual Sections. Moving residents from one Section to cover a vacation hole in another will no longer be permitted. All resident hospital chiefs will be assigned to regular rotations.
  • Except under certain circumstances, a resident should be allowed ONE week (up to 5 consecutive or non-consecutive work days) off from ANY rotation, however, the exact week is subject to negotiation with the approving section chief (see listed above), depending upon overall resident and staff levels at the requested time.
  • If you are on a rotation that normally has only one resident assigned, you are allowed one week (5 days) off for vacation.
  • If you are on a rotation that normally has two residents assigned, each resident is allowed one week (5 days) off for vacation, but not at the same time.
  • If you are the only resident on a rotation that normally has two residents, it is possible that you will not have your vacation time approved. Faculty members will decide on a case-by-case basis.
  • If you want more than 5 days off during the same rotation, you must get approval from the appropriate faculty member for the initial 5 days and any time over those 5 days separately. The faculty member may deny the request for addition time off over the initial 5 days without explanation.
  • The residents are expected to schedule their own vacations. arrange scheduling of vacation time among themselves. All vacations, June vacations in particular, should be scheduled well in advance.
  • Vacation during the last week of June will not be permitted for 1st through 3rd year residents, due to the expected absence of senior residents who often wish to leave early for fellowships or jobs. Senior residents are allowed to leave prior to June 30 only if they have saved the amount of vacation time they are requesting for early leave and get formal approval from faculty of their June service well in advance.
  • Any resident taking “terminal leave” without having sufficient vacation days will not receive their paycheck for their work in June. (Junior residents should not save their vacation time until June because they may not get approval to be gone and the vacation time will be lost. Remember, vacation time can not be carried over from previous years.)
  • Paid time off must be taken as part of (not in addition to) the School of Medicine leave and counted against the six weeks of Family Medical Leave Act paid leave; this applies to the FMLA leave as well (See IUSM Leave of Absence Policy).

Blacklist days

Vacation may be taken anytime except for the following:

  • During RSNA (Radiological Society of North America), which is held each year the week immediately following Thanksgiving. Each resident is allotted ONE day to attend RSNA. Exceptions will be made for those with papers and/or posters accepted for presentation and/or display. (See the Travel Benefits & Reimbursement Section for specific meeting policy more information.)
  • During the Christmas or New Year season. One half of the residents will take three vacation days during Christmas week and the other half during New Years' week. Additional use of vacation days (in excess of the 3 days residents receive under ACGME requirements) during the Holiday Schedule will not be permitted.
  • During the week of the annual SPR (Society of Pediatric Radiology) meeting (April or May) if on pediatric rotation.
  • During ARRS (American Roentgen Ray Society) meeting (April or May) unless the resident has obtained separate approval for the use of meeting time.
  • During Nuclear Medicine Society meetings when on Nuclear Med rotations (usually in June).
  • During Oral Board examination week.
  • The day of the ACR In-Service exam.

Section/Location Coverage Requirements

  • Interventional Radiology (IR): At least three residents TOTAL must remain for each month
  • Neuroradiology: Decision per above rules.
  • Chest/Thoracic Imaging: Decision per above rules.
  • Mammography/Breast Imaging: Decision per above rules.
  • Musculoskeletal: At least two residents TOTAL must remain between University and Methodist.
  • Night Float: One week of vacation is permitted during Days only at Wishard and Riley. Time off during Methodist Days, in general, will not be approved.
  • Nuclear Medicine: Decision per above rules.
  • Abdominal Radiology:
    • Methodist: At least 3 residents TOTAL must remain between CT/US, Fluoro, and MPC
    • University Hospital: At least 3 residents TOTAL must remain between Fluoro, US, and Body
    • VA: At least one resident TOTAL must remain between US and Abdomen
  • Wishard: Decision per above rules
  • Pediatrics/Riley: At least two residents TOTAL must remain in addition to the night float evening resident. The total for pediatrics does not include the Nuclear Medicine or Neuroradiology requirements.
